It is 10.30 on a busy Tuesday morning.
The receptionist is speaking to a customer at the desk. The phone rings. She answers it, while keeping an eye on the person waiting for their appointment. Someone from the office asks whether a delivery has arrived. Another caller wants to change their booking.
And somewhere in the middle of all that, the phone rings again.
A receptionist is often much more than the person who answers the phone. They are the heart of the business. They welcome customers, arrange appointments, keep the office running and somehow know where everything is and who needs what.
If only one or two calls come in during the day, that may be perfectly manageable.
But when the calls keep coming, even Shiva’s eight arms might not be enough. 😄
And that raises a question: how many calls are missed simply because one person cannot be in three places at once?
An extra pair of hands when the phone gets busy
This is where an AI telephone assistant can help.
Not by replacing the receptionist, but by supporting them when they are already busy.
Imagine that the phone rings while every member of the team is occupied. Instead of the call going unanswered, an AI assistant picks up:
“Hello, I’m Donna, the AI assistant at Oakfield Services. All our lines are currently busy, but your call is important to us. How can I help you?”
The caller knows immediately that they are speaking to AI. There is no pretending to be a human employee.
If the question is straightforward, the assistant may be able to answer it. If the caller wants to arrange an appointment, it could check available times, provided it has the appropriate access.
If the request needs a person, the assistant can collect the information required for a callback and pass it to the team.
The receptionist can continue helping the customer in front of them, knowing that the incoming call has not simply been forgotten.
And what if you are the entire team?
The same problem appears in a slightly different form when you run a one-person business.
You might be a therapist, consultant, tradesperson or beauty professional. You are with a customer, your phone rings, and you cannot interrupt every appointment to answer it.
An AI telephone assistant could take the call, introduce itself and help with the questions it has been designed and authorised to handle.
If it cannot help, it can collect the caller’s name, contact details and reason for calling, then pass that information on so you can return the call when you are available.
You still have the personal conversation. You simply have some help making sure that the next customer is not left wondering whether anyone received their call.
The human connection still matters
We know that many customers prefer speaking to a person. We do not see that as something technology needs to change.
A good receptionist understands the business, recognises familiar customers and knows when a situation needs personal attention. An AI assistant should support that work, not try to imitate or replace the relationship.
When a business hires a new receptionist, it does not usually sit them beside the phone and say, “Right, you can deal with everything from now on.”
They receive a job description. They learn how the business works, what their responsibilities are, and when they should ask for help or pass something on to a colleague.
We think about AI telephone assistants in much the same way.
At NLS, we first look at how the business actually handles its calls. What questions come up repeatedly? When are calls most likely to be missed? Which tasks could an assistant handle, and which should always reach a person?
We then define the assistant’s role, provide the information and permissions it needs, and design the handover process. We also consider what it should do when it cannot answer a question or when a caller asks for something outside its responsibilities.
In other words, we do not simply teach an assistant how to have a conversation. We design how it fits into the way the business works.
The aim is not to make AI sound so human that nobody notices the difference. It is to give the business an extra digital team member who can help when the human team is busy.
Sometimes the most useful thing an AI assistant can do is simply make sure that a customer is not forgotten while everyone else is busy.
