Imagine a new team member joining your company. You would not give them every password, unrestricted access to customer information and permission to make every business decision on their first day.

An AI assistant may need to answer questions, look up information or help with a booking. That does not mean it needs unrestricted access to your systems or permission to carry out every action on its own.

How we build those boundaries
Approved information and clear responsibilities
We define what the assistant is there to do, which information it may use and what should happen when it does not have a reliable answer. For example, a product assistant should not invent an ingredient, price or delivery promise simply because a customer asks for one.
Access only where it is needed
We consider which systems and information the assistant genuinely needs to access, and avoid giving it broader permissions than its role requires. A system that only needs to check appointment availability, for example, should not automatically have permission to cancel or change every booking.
The system controls important actions
We do not rely on the AI model alone to decide what it is allowed to do. Where appropriate, the surrounding software checks requests and controls which actions can be carried out. This helps separate the assistant’s ability to understand a request from the authority to act on it.
Human oversight where it matters
We identify situations where a person should review, approve or take over a request. The appropriate level of oversight depends on the business, the action and the potential consequences. Not every routine question needs human approval, but some decisions should remain with people.
Testing, monitoring and improvement
We test how the assistant responds to normal questions, unclear requests and attempts to push it outside its intended role. We also plan how its performance will be reviewed after launch, so that problems can be identified and improvements made in a controlled way.
Why the whole system matters
A safer AI model is important. It is not the whole system.
An AI assistant may connect to a website, customer information, booking tools, databases or other business software. Each connection introduces decisions about access, permissions and what the assistant is allowed to do.
That is why we look beyond the model itself. We consider the instructions and knowledge it receives, the tools it can use, the permissions behind those tools, the checks performed by the surrounding software and the points where human involvement is needed.

We consider responsibilities, access, boundaries and human involvement from the beginning of a project. These decisions inform how we build the assistant, connect it to business systems and test it before launch.
We keep our approach under review as AI safety guidance, relevant regulations and industry practices evolve. Where changes are relevant to our systems, we assess what they mean and update our design and security practices accordingly.
For systems we build and manage, we also carry out regular reviews of security settings, access permissions and relevant safeguards. Where updates are needed, we plan and implement them as part of the agreed managed service.
Security is not a one-off setup. It is an ongoing responsibility.
No AI system can be guaranteed risk-free. The aim is to make its behaviour and authority deliberate, controlled and appropriate for its intended use.
