NLS Business Automation — How We Work (preview)
How We Work

We don't start by asking what the technology can do. We start with your business.

Every project begins with understanding what's actually happening on your website and in your business — not with assuming you need a chatbot.

See Our Process

Not a template. A system designed around your business.

We don't sell off-the-shelf chatbots or force every business into the same structure. Every business is different — so every system we build starts from understanding, not from a pre-made answer.

"We do not begin by asking what the technology can do. We begin by asking what your customers need, and what is taking too much time from your team."

Our process, step by step

The same approach applies whether we're building a Website Assistant, a Webshop AI Assistant, or a Voice AI Agent.

1

Website & offer review

We look at your website and what you currently offer, and how a visitor actually experiences it today.

2

Understanding your problem

We listen to what you, as the business owner, see as the real problem — not just what the technology could theoretically do.

3

Mapping visitor drop-off

We identify where visitors hesitate, get stuck, or leave without taking the next step.

4

System design

AI Safety is an important part of how we design our systems. At this stage, we define what the assistant should and should not handle, which information and systems it may access, what actions need checks or approval, and where human oversight is required. We also design the surrounding system so the AI model does not have more authority than it needs.

5

Build

We build the system, connect it to your approved information, and shape the language around your brand.

6

Integration & optimisation

Where useful, we connect it to your CRM, booking system, data collection and follow-up processes — then refine it based on how it actually performs.

Connected to how your business already works

The visible assistant is often just one part. When it's useful, we connect it to what's running behind the scenes.

CRM

Enquiries and leads flow directly into the system your team already uses.

Booking & scheduling

Visitors and callers can book directly into your existing calendar.

Data collection

Relevant details are captured accurately, ready for your team to use.

Automated follow-up

Emails or messages can go out automatically after an enquiry.

Notifications

Your team is alerted when something needs their attention.

Internal processes

The system fits around how your business already operates, not the other way round.

AI Safety & System Design

Safety is part of how we design, not an afterthought.

We consider responsibilities, access, boundaries and human involvement from the beginning of a project. The aim is to make the assistant useful without giving it more authority than it needs.

Clear responsibilities

We define what the assistant is there to do, which information it may use and what should happen when it does not have a reliable answer.

Controlled access and actions

We consider which systems and information the assistant genuinely needs, and use the surrounding system to control important actions where appropriate.

Human oversight where it matters

We identify situations where a person should review, approve or take over, particularly when a request has greater consequences or requires human judgement.

Our approach is simple: the model helps understand and respond, the surrounding system controls what it can do, and people retain control where human judgement is needed.

Questions businesses often ask before working with AI

We build your assistant around information approved by your business, rather than allowing it to invent answers freely.

Before launch, we test it with realistic customer questions, including unusual, unclear and difficult ones. We also define what it should do when there is not enough information to answer safely.

Sometimes the right answer is simply: "I'm not sure — let me help you contact the team."

We design that journey too. Depending on your business, the assistant may ask a clarifying question, direct the visitor to the right person, collect their contact details for follow-up, or explain that the question needs human attention.

It should never guess just to keep the conversation going.

Often, yes. Depending on the project, we can connect the assistant to existing booking systems, CRM tools, enquiry forms, notifications and follow-up processes.

We look at what you already use first. We do not replace useful systems simply for the sake of adding new technology.

Your assistant is not something we build once and forget. Services change. Prices change. Products change. Policies change.

The information and conversation logic can be reviewed and updated so the assistant continues to reflect the business it represents.

We decide what information genuinely needs to be collected before we build the process.

Where personal information is captured, the journey is designed with appropriate consent and privacy requirements in mind. We do not collect information simply because the technology allows us to.

We can also discuss how information is stored, transferred and used as part of the project design.

No. You need to understand your business. That's the important part.

We take care of the technical side while working with you to understand your customers, your processes and the situations the system needs to handle.
