How to choose the right chatbot for your business

The right chatbot can turn a curious late-night visitor into a paying client — while you’re fast asleep. The wrong one sends that same visitor straight to your competitor.

Same website. Same visitor. Completely different result.

The difference? Which type of chatbot you chose.

Because here’s the thing most people don’t realise: „chatbot” isn’t one thing. There are three main types, and they’re as different as a bicycle is from a van. Both have wheels. Only one does the job you actually need.

Let’s walk through them — no tech-speak, promise.

1. The rule-based bot — the „press 1 for opening hours” type

You already know this one, even if you’ve never named it. It’s the phone-menu bot. „Press 1 for prices. Press 2 to book.” Someone maps out every path in advance, and the bot follows it.

Ask it something it was built for — „What time do you open?” — and it’s flawless. Fast, cheap, reliable. It’ll never give a wrong answer, because it only knows the answers it was handed.

But step off the path and it falls apart. Ask the same question in a slightly different way and it freezes, repeats itself, or shows you a menu that doesn’t help. It’s a set dance: every step decided in advance, and no idea what to do when the music changes.

Great for simple, predictable questions. Useless the moment a real person asks a real question.

2. The AI bot — the „actually understands you” type

This is the clever one. The type most people mean now when they say „AI”.

It doesn’t follow a script. It understands what someone means — even when they phrase it oddly — and answers naturally, using the information from your own business. If the rule-based bot is a set dance, this one’s an improv dancer: it adapts to whatever comes at it, and it gets better over time.

Someone types, „I’ve got a dodgy knee, is your class going to be too much for me?” A menu bot has no answer for that. An AI bot handles it warmly, reassures them, and nudges them toward booking.

It takes a little more care to set up — because a bot that thinks for itself needs to be built properly so it always stays accurate and sounds like you. But that’s the builder’s job, not yours. Done well, this is the one that quietly wins you customers.

3. The hybrid bot — the „best of both” type

The third type blends the two. Fixed rules for the things that must be exact — taking a booking, confirming a price — and AI for everything conversational.

Picture a brilliant receptionist: precise and careful with your details, warm and natural the rest of the time. That’s a hybrid. Reliable where it counts, flexible everywhere else. It’s the most capable option — and the most involved to build.

How we see it at NLS Business Automation

We can build all three — but the one we recommend most, and the one we’re genuinely best at, is the AI bot.

Not because it’s the fanciest. Because a good AI chatbot was never really about the technology. It’s about thinking like the business owner and the customer at the same time — knowing what your visitors actually want to ask, and how you’d want them looked after when they do. That’s the part we love, and it’s where we make the real difference.

So which one do you need?

Honestly? It depends on your customers.

  • A handful of simple, predictable questions → a rule-based bot might be plenty.
  • Real, varied questions before people trust you enough to book → you’ll want AI.
  • Reliable bookings and natural conversation → a hybrid is the sweet spot.

The mistake I see again and again: someone assumes „chatbot” means one thing, buys the cheapest menu bot going, and feels let down when it can’t hold a proper conversation. It was never built to. That’s not a broken bot — it’s the wrong tool.

Next time, I’ll show you real examples — which type fits which kind of business — so you can spot yourself in one of them.
